STR Owner Report Template: What Every Property Manager Should Include

What to Include in Every Owner Report
1. Property and period details
- Property name and address
- Report period (e.g., July 2025)
- Date the report was generated
2. Stay-by-stay breakdown
For each guest booking in the period, include:
- Guest name (first name and last initial for privacy)
- Check-in and check-out dates
- Booking source (Airbnb, VRBO, direct)
- Gross guest payment
- Platform commission or service fee
- Cleaning fee
- Occupancy tax
- Processing fees (if direct booking)
- Management fee (your percentage)
- Net payout to owner for that stay
3. Monthly totals
- Total gross income
- Total cleaning fees
- Total platform fees
- Total taxes
- Total management fees
- Any miscellaneous expenses (repairs, supplies)
- Total net payout to owner
4. Additional expenses
If there were any one-off expenses during the month (plumber, broken appliance, supply restock), list them with dates and amounts.
Common Mistakes in Owner Reports
- Missing fee breakdowns. Owners want to see where every dollar went, not just a lump sum.
- Inconsistent formatting. Use the same template every month so owners can compare easily.
- Late delivery. Send reports within the first week of the following month.
